Case study · Foodservice supply, in-house marketing

A foodservice supplier’s marketing team with one-form campaign launches and a live calendar

This in-house marketing team kept every campaign on one board, and leadership couldn't see what was launching when. Now one form builds a full campaign, and a live calendar opens from a link, with no Monday.com account needed.

  1. FormCampaign request submitted
  2. MakeFolder, channel boards and briefs built
  3. Monday.comDatabase syncs every task
  4. Monday.comShared calendar for leadership

The challenge

The client’s in-house marketing team supports two business units across email, social, homepage, flyers and print. Leadership wanted a dependable view of what was launching and when, and the team wanted every campaign to start the same way.

What was in the way

  • All campaigns lived on a single board, with stages tracked as subtasks.
  • Each asset type had its own board, disconnected from the rest.
  • There were no calendars of launch and posting dates.
  • Leadership had little visibility into campaign progress.

The system we designed

We restructured the operation around a campaign launcher. A New Campaign Onboarding form feeds a launcher board that moves from Incoming to Launching to Launched. Each campaign gets its own folder with one board per channel, stages as groups, and brief and copy documents created from templates.

Underneath, an All Projects Database board aggregates every task from every channel board and stays in sync both ways. Dashboards, an upcoming-work view and the content calendar all read from that one table.

Key automations and integrations

  • Form to full campaign: the folder, channel boards, tasks and briefs are built in one launch.
  • Two-way database sync: status, updates, comments and dates. A launch-date change spreads everywhere within moments.
  • Smarter assignments: assignee sync is designed so nobody is notified twice.
  • Shareable calendar: stakeholders open it from a link in weekly meetings, without an account or training.

The impact

  • The owner estimates the system has returned about 5 times its cost.
  • Campaigns launch from one form instead of manual board setup.
  • Leadership reviews posting schedules from a live calendar, without logging in to Monday.com.

Why it scales

Because calendars and dashboards read from one database instead of connecting to each board, the team can run hundreds of campaign boards without hitting Monday.com’s dashboard limits.
